
We are all using social media and video conferencing tools to communicate with friends, family and work in the Covid-19 era. Our Information Governance lead David Way highlights some tips to help us work more securely online
I joined the programme board of the Dorset Care Record just under two years ago having recently started work at Dorset HealthCare University NHS Foundation Trust as their Information Governance manager and Data Protection Officer.
It was an interesting time to join the project as the big changes in data protection law, the General Data Protection Regulation, or GDPR, as it is better known, had come into place. There was a need for the project to ensure it was compliant with GDPR and the new Data Protection Act 2018.
My role is to support the programme board and advise them on IG issues and to support the DCR Privacy Officer who has the day to day responsibility for data protection and information governance systems. My key area of work is ensuring that any development or operational use of the systems complies with data protection law and that we can share information in a safe and secure way to enable more connected care for our residents of Dorset

We are all having to re-evaluate how we go about our daily lives since Covid-19 struck and for a lot of us that means we are using social media and video conferencing tools to communicate with friends, family and work more than before. For some of us, the way we communicate may change to mean more use of video calls. Here are some tips to help you work online more securely.
Video Conferencing
Our top tips for video conferencing:
- Use different and strong passwords on every account and device
- Keep all devices, apps and operating systems up to date
- If using a free version of a commercially available video conferencing service be aware of the advertising and cookies that they might introduce to your laptop/pc
- Only invite people to a video call you know or wish to invite
- Do not allow third party invitation rights unless you are confident they will only invite people you or they know to a call
- Do not publish the access link or pass code for a call for unknown participants joining the call
- When using a video conferencing call try to ensure your back drop does not reveal any personal details ie, have phone numbers or address showing on notice boards behind you
- Do not allow recording of your calls – some providers allow the call “administrator” to lock certain features
- Do not reveal personal details such as bank account, credit card details on a call.
